It\u2019s crucial to understand that the department in charge of accounts receivable must be particularly vigilant and responsive. We\u2019d like to take a closer look at the key KPIs you should be monitoring on your dashboards, to help you assess the performance of your accounts receivable management.<\/p>\n<h2>9 key performance indicators to measure your accounts receivable performance<\/h2>\n<p>There are 9 key accounts receivable indicators to track, including the following KPIs:<\/p>\n<ol>\n<li>DSO ;<\/li>\n<li>aged trial balance ;<\/li>\n<li>late payment rate ;<\/li>\n<li>rate of unpaid invoices ;<\/li>\n<li>WCR ;<\/li>\n<li>the expiry rate ;<\/li>\n<li>collection forecasts ;<\/li>\n<li>analysis of causes of disputes and delays ;<\/li>\n<li>customer outstandings.<\/li>\n<\/ol>\n<h3>1 \u2013 DSO<\/h3>\n<p><a href=\"https:\/\/www.cashontime.com\/en\/articles\/dso\/\"><strong>DSO<\/strong><\/a> stands for <strong>Days Sales Outstanding<\/strong>. It is a receivables indicator that enables us to determine the <strong>average time taken to pay invoices<\/strong>, either globally or for a specific customer.<\/p>\n<p>It\u2019s essential to monitor this <a href=\"https:\/\/www.cashontime.com\/en\/articles\/collection-receivables-kpi\/\">KPI for debt collection<\/a>, because the longer the average delay, the <strong>higher the risk of non-payment<\/strong>. This can jeopardize cash flow balance, as a result of a mismatch between incoming and outgoing flows unrelated to business operations.<\/p>\n<p>That\u2019s why we recommend adopting <strong>best practices in receivables management<\/strong>, to reduce your company\u2019s DSO as much as possible.<\/p>\n<p>What\u2019s more, a particularly long DSO can be a sign of a <strong>non-optimal invoicing process<\/strong>, an inefficient collection process, or low customer satisfaction leading to disputes and late payments. In this way, age brackets are created to identify the oldest unpaid invoices, whether or not they are overdue.<\/p>\n<p>The aged trial balance can therefore be used to identify the <strong>payment reminders that need to be carried<\/strong> out as a priority in order to improve debt recovery.<\/p>\n<p>On the other hand, the aged trial balance is a receivables indicator to be monitored, as it <strong>reflects the effectiveness of the collection policy<\/strong> in place. If the late payment rate is zero, there are no unpaid invoices.<\/p>\n<p>The aim is to keep <strong>late payment rates as low as possible<\/strong>. Failing this, the payment policy, collection policy and collection process need to be reviewed. Similarly, the quality of customer service can have an impact on the late payment rate. Indeed, disputes arising from dissatisfaction often lead to non-payment of invoices by customers.<\/p>\n<h3>4 -The rate of unpaid invoices<\/h3>\n<p>The <strong>rate of unpaid invoices<\/strong> provides additional information for analyzing customer receivables. The rate of unpaid invoices is calculated as follows:<\/p>\n<p style=\"text-align: center;\"><em>rate of unpaid invoices = (losses for the period + provisions for past-due and doubtful receivables for the period \u2013 write-backs of provisions for past-due and doubtful receivables) \/ sales for the period<\/em><\/p>\n<p>It is recommended to aim for a <strong>rate of unpaid invoices of less than 1%<\/strong> to preserve the company\u2019s cash flow.<\/p>\n<h3>5 \u2013 Working capital requirements (WCR)<\/h3>\n<p><strong>WCR<\/strong> is a key indicator of trade receivables. It determines the extent to which the company can <strong>meet its own cash requirements<\/strong>, in order to pay its expenses on time. Depending on its working capital requirements, the company may need to request extended payment terms from its suppliers. It may also request overdraft facilities, or even short-term loans, from its bank.<\/p>\n<p>As a reminder, WCR is calculated as follows:<\/p>\n<p style=\"text-align: center;\"><em>WCR = average inventories + outstanding trade receivables \u2013 outstanding trade payables<\/em><\/p>\n<p>An <strong>increase in WCR<\/strong> that is not concomitant with an increase in business activity may be symptomatic of a lengthening of payment terms and an increase in non-payments.<\/p>\n<h3>6 \u2013 The expiry rate<\/h3>\n<p>The <strong>due date rate<\/strong> is calculated as follows:<\/p>\n<p style=\"text-align: center;\"><em>overdue rate = overdue invoices \/ total outstanding receivables<\/em><\/p>\n<p>It is therefore advisable to <strong>aim for a near-zero overdue rate<\/strong>. To achieve this, it is important to optimize the payment policy, as well as the collection policy and process.<\/p>\n<h3>7 \u2013 Collection forecasts<\/h3>\n<p>Among the accounts receivable indicators to monitor, we also include <strong>collection forecasts<\/strong>. This involves identifying cash receipts, i.e. cash inflows, expected in the coming days or weeks. Some collection software packages, such as CashOnTime, make it easy to forecast cash inflows.<\/p>\n<p>Knowing the cash flow forecasts enables you to :<\/p>\n<ul>\n<li><strong>ensure that the invoice<\/strong> is collected on time;<\/li>\n<li><strong>anticipate potential payment<\/strong> delays;<\/li>\n<li><strong>negotiate payment terms<\/strong> with suppliers if necessary;<\/li>\n<li><strong>efficient cash management<\/strong>.<\/li>\n<\/ul>\n<h3>8 \u2013 Customer outstandings<\/h3>\n<p><strong>Outstanding receivables<\/strong> are an essential performance indicator for trade receivables. In fact, trade receivables include :<\/p>\n<ul>\n<li><strong>invoices not issued late<\/strong> ;<\/li>\n<li><strong>overdue invoices<\/strong> ;<\/li>\n<li><strong>invoices to be issued<\/strong>.<\/li>\n<\/ul>\n<p>It therefore corresponds to all debts due and payable by customers to the company. It is possible to monitor the company\u2019s overall customer receivables, or customer by customer.<\/p>\n<h3>9 \u2013 Analysis of the causes of disputes and late payment<\/h3>\n<p>The final customer receivables indicator to monitor is the <strong>analysis of the causes of disputes<\/strong> and late payment. By understanding the causes of late payment, you\u2019ll be able to optimize your company\u2019s internal processes.
